Poland: document checklist
Every document you need for a Poland citizenship-by-descent case — who issues it, how to request it, and roughly what it costs and takes.
Ancestor's Polish birth/baptismal record
- Polish civil registry (UrzÄ…d Stanu Cywilnego) or parish/State Archives for older records
- Written request to the specific archive branch covering the ancestor's town, or via the szukajwarchiwach.gov.pl portal where digitised
- PLN 22–50 (~$6–$15) for certified copies; often free to search digitised records
- 2–12 months for non-digitised regional archives
Many pre-WWII records were destroyed. Church records, Jewish community records, and alternative archives may be the only source — a Polish genealogist can greatly speed this up.
Birth/marriage/death certificates — full chain
- Vital records offices in each country of residence
- Standard certified vital records request
- $15–$50 each
- 1–8 weeks
Need the complete chain from your Polish ancestor to you.
Proof ancestor did not lose citizenship (naturalisation/military records)
- Immigration authority and defence department of the receiving country (e.g. USCIS, NARA in the US)
- FOIA or genealogy-program records request
- $65–$130 typical for a US-side USCIS search
- 3–12 months — order early
You may need to prove a negative — that they did not naturalise or serve in a foreign military before the next birth in the line.
Confirmation of Polish citizenship application
- Regional Voivode's office in Poland, or Polish consulate abroad
- Formal application with full documentary chain, submitted in Poland or through the consulate
- Application fee PLN 277 (~$70), raised from PLN 58 effective 2025-08-01, plus consular handling fees if filed abroad
- 6–24 months depending on Voivodeship and complexity
Certified translations into Polish
- Sworn translator (tłumacz przysięgły) registered in Poland
- Professional translation service
- $30–$80 per document
- 1–3 weeks
Translations must be done by a sworn translator recognised in Poland — a standard certified translator is not sufficient.
